What are you going to do
- You maintain contacts, both inside and outside the organization, and guide change processes.
- You work in close consultation with colleagues from the Information (ICT) team to manage and improve the information flows and storage, so that the preservation and accessibility of information is guaranteed.
- You participate in the strategic information consultation (SIO).
- In addition to analyzing applications in the field of information management, you make management agreements with functional/application managers.
- You advise colleagues within the cluster and the entire municipal organization on developments in the field of information management and the design of digital information management.
- In addition to drawing up frameworks and guidelines aimed at information management, you ensure that work is done in line with these principles and evaluate them in order to achieve improvement.
- You coordinate the quality checks.
- You contribute to the development, improvement and implementation of the organizational structure.
- You set up instruments for Record Management, such as procedure for destruction and div. quality checks.
- As the author of the Information Management Quality Assurance Handbook, you ensure that it remains up-to-date.
- You are responsible for shaping and managing the digital archive by drawing up and rolling out an organization plan and metadata scheme.
- You set up work processes for information management and you contribute to awareness regarding the findability of information, including in the context of the Open Government Act (WOO).
- You supervise and train employees and ensure cooperation and coordination between the various colleagues involved.
- Together with colleagues you propose improvement processes and implement them.
- You report annually to the Executive Board and the Council on the performance of the archive task in the context of inter-administrative supervision; you discuss this with colleagues, the archives inspector and the province.
- As an account holder, you are responsible for the contact between the municipality of Houten and the regional archive service RAZU and you are in constant communication with them, so that this organization can perform its tasks for the participating municipalities. And you are responsible for the information from RAZU towards the board and official organization and vice versa.
- You draw up destruction lists and coordinate them with the archive inspector and municipal archivist.
- In the context of the implementation of the e-depot, you play an important role in the coordination and cooperation of the municipalities with RAZU.
- You write council and board proposals and coordinate the progress of your projects with the responsible administrators.
- You are responsible for periodic quality checks and make proposals for improvements based on the results.
- Periodically you provide financial data (figures and text) about the RAZU, using the financial systems Lias and Key2 finance.
- You are responsible for drawing up and maintaining a Quality Assurance Information Management Manual.
- You are a source of information for your colleagues in the cluster and you supervise the daily management. In addition, you are the first point of contact for the team manager for developments that concern the cluster.
What does your working day look like?
No day looks the same. One minute you will receive questions from colleagues about mail registration, and you will have an appointment with the project group about the implementation of the Open Government Act. You then work on a lecture proposal on how to carry out the archiving task. In between, you answer an email from the mayor about our archives service and you inform your team manager about operational issues. In short: the range of work is very varied.
Who you are
- You have at least 4 years of work experience in a similar position.
- You have an HBO working and thinking level.
- You have followed the Information and Archive Management course, (course) Record Manager / Information Specialist or equivalent.
- You are aware of the Public Records Act, Quality Standards for Information Management and other relevant laws and regulations.
- You have good communication skills (both verbally and in writing), you are result-oriented, flexible and organizationally strong and you have advisory skills.
- You are determined and work accurately. You are able to come up with creative solutions, you think along with the customer and you advise more broadly than is asked. In addition, you are independent, have a firm footing and are stress-resistant.
- It is an advantage if you have experience writing lecture proposals.
- It is an advantage if you have experience in a municipal environment.
- You preferably have work experience with organizational and organizational structures.
- You are passionate about business and improvement processes,
- You have experience working with DMS/RMAs and have extensive experience with Case systems and SharePoint, Teams, etc.

The municipality of Houten is part of the urban region of Utrecht and has been developing rapidly in recent decades. Which team will you end up in
You are part of the Digital Information Provision cluster. Within the cluster there are a few primary areas of attention, namely: input, advice and monitoring quality assurance information management and Information and Archive Management, the processing of incoming and outgoing (digital) mail and the archiving, checking, selection, storage and legal destruction of analogue and digital information, so that the preservation, completeness, accountability and accessibility of information is guaranteed.
In view of developments within the organization, an investigation is underway to see whether the digital information provision cluster may be positioned under a different team in the future.

We are happy to reward your efforts with:
- A salary that depends on your education and experience. If you meet the requirements, we can classify you in job scale 11.
- The gross monthly salary in this scale is a minimum of €4,020 and a maximum of €5,725 based on full-time employment (36 hours per week). If you do not yet meet the job requirements, you will be scaled in preliminary scale 10. The gross monthly salary in this scale is a minimum of €3,396 and a maximum of €5,009 based on full-time employment (36 hours a week).
- If you are mutually satisfied, you will be eligible for permanent employment after a year.
