As an Information Management colleague, you enter the digital and analog world at the municipality of Gouda. Together with your colleagues, you play an important role in securing and making valuable information accessible. We are looking for a go-getter, will you join our team?

Who do you work with?
As an information management colleague, you will become part of the Information Provision &

Automation (INA). The Automation team consists of the areas of expertise: system and network management, technical application management, database management and the service point. Team Automatisering provides reliable ICT infrastructure for five partner municipalities (approx. 2,000 end users). You will work in the Information Services team. This diverse team provides broad advice on policy in the field of information provision, information management, new legislation, architecture, archiving and security and translates application requirements into the technical infrastructure. As an information manager, you work with colleagues from the ‘Smart, fast and digital’ program and from the ‘Modern workplace’ theme. Within the ‘Smart, fast and digital’ program, we improve our services by dealing smartly and responsibly with the possibilities that digitization and data offer us for both the people in our city and the municipal organization. Within the theme ‘Modern workplace’ we are working on a future-proof workplace where time- and place-independent working is central. To achieve this, the Microsoft365 (M365) platform is implemented. Part of this includes an archive-worthy setup of Sharepoint/Teams.

What are you going to do?
Information management is responsible for the management of both digital and analogue documents and files. With your team, consisting of 5 colleagues, you each have your own contribution to the knowledge area and you divide the work. Within information management we have two different roles/levels: advisor and (executive) specialist. Depending on your knowledge and skills, you fulfill one of two roles. Within this role you can then focus on analog or digital archives. The municipality is currently in a hybrid situation. More and more processes are being made digital, which ensures that less paper comes in and goes out. As an information management colleague, you always have to deal with both archives. You are given the opportunity to emphasize one of the two. Which one do you choose? That depends on your skills and interests.

Are you going to work as an information management consultant?
Then you will mainly be concerned with making plans, policies and setting up and setting up the right technology and advising the organization. In the field of digital archiving, we are looking for someone who will set up the policy for the coming years. The organization is in the rollout of Microsoft 365 (M365).

Rolling out M365 means a new way of collaborating, sharing knowledge and communicating. Now it is up to you to expand this further and include the organization. Policies, frameworks and guidelines in the field of digital information management must be created that fit into our ever-changing information landscape. In this way you will further develop the vision on information management for the Municipality of Gouda. This includes policy choices and drawing up an implementation plan. You naturally take the requirements of the Archives Act, the Woo and the GDPR into account. Above all, you are connected to colleagues from across the organization. This is to test again and again whether the step being taken is in line with what is needed and workable in the organization. There is still plenty to do within the analogue archives.

Are you going to work as an information management specialist?
Then you have a more executive function. You are involved in the design and implementation of storage, retention and management, access or (active) delivery, and where necessary, transferring, moving, removing or destroying information. Documents and files must be archived, analogue files must be formed on the basis of classification code or in destruction blocks. You also provide information about archival issues to third parties and check files for completeness, correctness and identify deviations. In the field of digital archiving, you answer questions about archiving in applications at the professional departments. You will also get to work within M365. You are responsible for creating new Sharepoint sites and classifying them in connection with retention periods. You also manage closed Sharepoint sites.

Salary and appointment
This is a permanent position for 32-36 hours per week, always starting with a one-year contract (fixed term). The intended salary level depends on education and experience and on the role you will ultimately fulfill. The salary is a maximum of €4,244 (scale 8) gross per month for the position of specialist and a maximum of €4,752 (scale 9) gross per month for the position of consultant. A starting scale can also be used.

We have a wide range of secondary employment conditions, including an individual choice budget (IKB) of 17.05% of the annual salary (including holiday pay and can be used for various purposes including extra salary or leave).

Recruitment procedure

You will receive a response to your application from us within 3 days after the closing date of the vacancy. The selection committee starts the letter selection after the closing date and approaches the candidates for an interview. A selection is then made again and the second interview takes place.
